Account Application

In order to hire equipment form us, we need you to give us some details. You can apply below via the form or download the forms and email it to us. 

You may have questions or be unsure of whats required for you to apply to hire equipment. It's different depending on who you are, we have split it into the two categories below to help you understand the process. Contact us if you have any other questions about hiring from us.


What's the hiring process for Private Individuals?

1. Please email us at hire@newdaypictures.com, listing the exact equipment required, the hire date(s) (when you will be using the equipment), and your name and home address. Let us know if you are collecting, or if you require delivery and collection (we can only deliver to your home address), and whether you have insurance cover for hired-in equipment (we will need to see your insurance certificate). If you do not have your own insurance cover, in many cases we can add you to our policy for the duration of the hire (subject to limitations) for a fee, or you could try the Performance Insurance button (above). Note that for some hires A DEPOSIT MAY BE REQUIRED.

2. We will email you a full quote, along with a copy of our Hire Application Form.

3. Please check the quote lists all of your requirements, and if so, email us back to confirm the booking, attaching the completed Hire Application Form.

4. We will book you in, pass the form to our Accounts department for processing, and let you know when the form has been successfully processed - we suggest you give us at least 24 hours to process the form.

5. You come in to collect the the equipment (it has to be you who collects - you cannot send a friend or courier) from our offices in Kingston, Surrey, either on the day of the hire, or the previous afternoon (usually between 2pm and 5pm - subject to equipment availability - note we close at 5pm).

6. Return the equipment to us either on the day of the hire (if you wish) before 5pm, or the morning after the hire day, between 9am and 12pm. We are closed at weekends.

7. When you collect, we require the following:

In addition to a current passport, private clients must supply a minimum number of 3 forms of identification with their name and address showing, all names and addresses must match each other. These forms of identification should be original documents and not photocopies. These could be; bank statements, driving licence, utility bills - (but not invoices).
If a driving licence is shown, it should be accompanied by the paper part of the licence as well as the plastic card. With the exception of the driving licence, these identification forms should all be dated within the last three months.

All Private Client hire charges must be paid in advance or on collection of equipment, with a valid Credit or Debit card in the hirer's name and registered to their address.

What's the hiring process for Limited Companies?

Please note a limited company has to be incorporated for at least 12 months, otherwise please nominate someone to follow the Private Individual procedure.

Let us know if you are collecting, or if you require delivery and collection (we can only deliver to your company address), and whether you have insurance cover for hired-in equipment (we will need to see your insurance certificate). If you do not have your own insurance cover, we can in many cases add you to our policy for the duration of the hire (subject to limitations) for a fee.

2. We will email you a full quote, along with a copy of our Limited Company Hire Application Form.

3. Please check the quote lists all of your requirements, and if so, email us back to confirm the booking, attaching the completed Account Form.

Please let us know who is collecting, and ask them to bring an item of personal ID (driving licence or passport etc). If you have requested delivery and collection, you will need to phone in with card payment the day before we deliver.
